Why are shared passwords a problem for data security?
Shared passwords remove accountability, because you cannot tell who did what, and they are hard to revoke when someone leaves without changing the password for everyone. They also tend to spread to places they should not be. Individual accounts with multi-factor authentication are safer.
If a team needs shared access, use a password manager that supports sharing, or give each person their own account with appropriate permissions.
For service accounts used by software, store credentials in a secrets manager rather than in documents or code, and rotate them when staff or providers change. Individual accounts also make audit logs meaningful. Rules differ by country and sector, so check how this applies to you with a qualified adviser.
