How do I measure clinic or practice utilisation?
Practice utilisation is booked and attended appointment time divided by available clinical time, multiplied by 100. Available time is the hours a practitioner or room is open for patients. It shows how much of your capacity produces patient care and revenue.
Formula in words: appointment minutes attended divided by minutes available.
It matters because unused slots cost salary, rent and equipment time without income.
Commonly misread:
- Counting booked time, not attended time, which ignores no-shows.
- Dividing by total opening hours rather than bookable hours, hiding blocked admin or leave time.
- Treating 100 percent as ideal when some slack is needed for emergencies and overruns.
Measure by practitioner, day of week and room, and separate booked utilisation from attended utilisation to see where the gap comes from.
