How do I calculate no-show rate for appointments?
No-show rate is the number of appointments where the patient did not attend and did not cancel in advance, divided by the number of appointments scheduled, multiplied by 100. It shows how much booked capacity is lost to missed visits.
It matters because a missed slot is usually unrecoverable revenue and wastes practitioner time.
Commonly misread:
- Mixing no-shows with late cancellations, which need different fixes. Record both.
- Excluding walk-ins or double-booked slots inconsistently.
- Ignoring patterns by appointment type, day, lead time or practitioner.
Break the rate down by how far in advance an appointment was booked and by reminder method. Reminders, deposits and easy rescheduling can be tested, but compare against your own baseline before and after rather than external figures.
