Should my business have an AI usage policy for staff handling data?
Yes. A short written policy reduces the risk of staff pasting confidential or personal data into public AI tools. It should state which tools are approved, what data may never be shared, how outputs must be checked, and who to ask when unsure. Review it regularly as tools change.
Elements of a practical policy:
- Approved tools and account types.
- Data categories that are prohibited, such as personal data, credentials and client contracts.
- Rules on anonymising or aggregating before use.
- A requirement to verify numbers, code and legal or financial claims.
- Disclosure rules for AI-assisted work to clients where relevant.
Pair it with brief training. Policies fail when they are so strict that staff quietly work around them, so provide approved alternatives that actually meet their needs.
