How can I tell when my spreadsheets have outgrown Excel?
You have outgrown Excel when reports take hours of manual work, two people produce different totals from the same data, files are slow or break, or nobody trusts the numbers. These are signs that the process, not just the file, needs a proper data source and automated refresh.
Check for these signals:
- The monthly report depends on one person's laptop.
- Data is copied between files by hand.
- You cannot easily trace where a number came from.
- You need data from several systems in one view.
- Sensitive data is emailed around.
Moving on does not mean abandoning Excel. It means loading source data into a database or warehouse, applying documented transformations, and letting Excel or a BI tool read from that shared source.
